The task

A busy executive inbox needs a simple system that makes important messages easy to spot, gives follow-ups a home and prevents newsletters or low-priority mail from crowding the daily view.

My approach

I designed a lightweight Gmail-style triage workflow built around five labels: Action Required, Waiting for Reply, Clients, Finance and Read Later. The idea is to process the inbox by decision rather than by sender.

Daily operating routine

  • First pass: identify urgent client, finance and scheduling messages.
  • Second pass: reply, delegate, schedule or label each actionable message.
  • Move messages waiting on someone else into a follow-up queue.
  • Batch newsletters and non-urgent reading away from the primary inbox.
  • End-of-day review of unanswered priority messages.

What this demonstrates

Inbox organization, prioritization, written communication, follow-up discipline and the ability to create a repeatable administrative system instead of relying on memory.
