Executive Weekly Calendar

A balanced weekly schedule using meetings, buffers, preparation blocks and protected focus time.

The task

Create a weekly executive calendar that protects focus time while still accommodating meetings, preparation, follow-ups and recurring responsibilities.

Scheduling principles

I used time blocking, meeting buffers and preparation windows so the calendar is not simply “full.” The structure leaves room for work between commitments and avoids stacking important meetings back-to-back.

Rules built into the calendar

  • Preparation time before high-stakes meetings.
  • 15–30 minute buffers around external calls.
  • Protected deep-work blocks that are not treated as spare meeting space.
  • Dedicated follow-up periods so small tasks do not fragment the day.
  • Weekly planning and review blocks to keep priorities visible.

What this demonstrates

Calendar management, scheduling judgment, time-zone awareness, prioritization and the ability to think beyond simply placing events on a calendar.
